The Au Pair Agenda Planner: stay organized from day one to your final goodbye

Being an au pair means juggling many things: taking children to school, preparing meals, helping with homework, attending language courses, finding free time and discovering a new country. Without a system, something always slips through the cracks. A forgotten pickup, a missed appointment, or unclear days off can create stress for both you and your host family.

That's why we created the AuPair Plus Agenda Planner, a printable 16-page PDF designed for the real life of an au pair.

What you'll find in the planner

  • Information about you and your annual goals: important contacts, start and end dates, language objectives, trips, friendships and savings.
  • Monthly and weekly planner: see the big picture, then organize each day hour by hour.
  • Daily agenda and to-do list: a page for those days when everything happens at once.
  • Children's routine tracker: wake-up time, school, snack time, homework, activities and bedtime, with space for allergies, milestones and fun moments.
  • Chores and weekly menu: a clear list of what's asked of you, with a shopping list.
  • Work hours and free time: note your hours, days off and any extra babysitting hours, and write down questions to ask the family.
  • Language learning: a study diary, course schedule and space for new vocabulary.
  • Budget and pocket money: plan and track your monthly expenses.
  • Travel list and social life: outings, holidays, meetups with other au pairs.
  • Contacts, document checklist and weekly reflection.

How to use it

1. Fill in the basics on day one. Enter emergency numbers, your agency contact and the document checklist.

2. Every Sunday, sit down with the family. Spend ten minutes with your host parents filling out the weekly planner. Agreeing in advance on schedules, extra hours and days off prevents most misunderstandings.

3. Use the tracker for the children's routine. Consistency gives young children security and makes handovers with parents much easier.

4. Protect your free time. Write language courses, hobbies and meetups in the planner like any other commitment: these are what make your year meaningful.

5. Review every week. The reflection page takes five minutes. By the end of your stay, you'll have a record of everything you've learned.

Not just for au pairs

Host families can use the planner too. Sharing the same schedule means clearer expectations on both sides, which is the foundation of a good match.
